The operational problem

A services company onboarding new clients through scattered steps: intake details collected by hand, engagement paperwork assembled document by document, and the state of any single onboarding living in someone’s head.

Why the existing process failed

Every onboarding repeated the same manual assembly, and every variation risked a document that did not match the intake or a step that silently never happened.

What was built

An onboarding workflow on the client’s Microsoft 365 environment: structured intake, validation of what was collected, generation of the engagement documents from that single source of intake truth, and a clear record of each onboarding’s state from first contact to completed paperwork. A working prototype preceded the build, so the client approved what they would receive before it was constructed.

What the system automates, calculates, and controls

Intake capture, document assembly, and status tracking. The paperwork is generated, not retyped, and the workflow knows which step every onboarding is on.

Where human judgment remains

Staff review and approve generated documents before anything is sent. The system prepares; people commit.

How correctness was tested

Prototype demonstration and acceptance against the agreed statement of work, with generated documents reviewed against their intake sources before the workflow was relied on.

What changed

Onboarding became a defined path with its paperwork produced from one source of truth, delivered and operating in the client’s own environment.

Disclosure

Delivered engagement, governed by a written master agreement and statement of work. Client identity withheld; the sector is stated at a general level.
